Colors and Workflows

Color your tasks by hand, or let Workflows color them and remind you about them. Set a rule once, and every matching task follows it.

Colors

Open a task and click Color in its card to pick one. You can add colors of your own to the palette; custom colors are part of Premium.

Edit or delete a color

In the color list, press and hold a color you added until it opens for editing. Change it there, or choose Delete color.

Removed some default colors in the iPhone app and want them back? Press and hold the white circle and choose Reset: the default colors return, and the ones you added stay.

Workflows: add a rule

Go to Settings → your calendar → Workflows and click Add rule. Each calendar has its own rules, and in a shared calendar the owner’s rules apply to everyone’s tasks. Workflows are part of Premium. You set them up on the web, and they work for tasks added anywhere, including the mobile apps.

Workflows with two rules: Has a time and Contains Gym

Tasks with a time

Pick Has a time, then turn on Set color, Remind me, or both. Add Standup 10:00 and it gets your color and a reminder at 9:45. Move the task, and the reminder moves with it.

Tasks with a word

Pick Contains and type a word. Every task with that word in its title gets the rule’s color: Gym colors Gym with Anna and Morning gym. Add a rule for each word you use.

A task with both a time and a word takes the Has a time color. Take the word out of the title, and the color goes away.

What you set yourself stays

If a task already has a color or a reminder, the rule leaves it as is. Change one later, and the rule won’t touch it again.

What rules don’t touch

Rules apply to future tasks only, so the tasks you already have stay as they are. They skip repeating tasks and events from Google Calendar, Outlook, Apple and other integrations.

Delete a rule

Open the rule and click Delete rule. Tasks it already colored keep their color, and the reminders it set still go off. To change them, edit the task. Turning off Set color or Remind me works the same way.
